Overview
Profile Notes provide a dedicated space within each end-user's profile for administrators and staff to record, manage, and share important information. This feature is designed to help you keep track of clinical details, dietary requirements, personal preferences, interaction logs, reminders, or any other context relevant to providing effective, hands-on support to your users.
How to Access a User's Profile Notes:
Go to Users: Navigate to the main
Users
list within the platform.Select User: Find the specific user whose notes you want to access and click on their profile to open it.
Open Notes Section: In the user's profile menu (typically displayed on the left-hand side), click on the
Notes
option.
Viewing and Organizing Existing Notes:
Once you are in the Notes section for a user, you have several tools to manage the information:
Search: Use the search bar to find notes containing specific words or phrases.
Filter by Tags: Filter the displayed notes by selecting predefined tags (common examples might include "Important", "Reminder", "Information"). This helps you quickly find notes of a certain category.
Sort: Organize the list of notes by their
Date Created
(newest or oldest first) or alphabetically by theirTitle
.
How to Add a New Note:
Initiate Note: While viewing the user's Notes section, click the
Add Note
button (often found in the top right corner).Enter Title: Provide a brief, descriptive
Title
for your note that summarizes its content (e.g., "Initial Consultation Summary", "Allergy Update - Peanut", "Follow-up Required re: Meal Plan").Write Content: Type the detailed information for your note in the main text area. Be as specific as needed.
Assign Tags: Select one or more relevant
Tags
to categorize the note (e.g., you might tag an allergy update as both "Important" and "Information").Save Note: Click the
Add to Note
(or similarSave
/Create
) button to save the note to the user's profile.
Collaboration and Visibility:
Notes saved to a user's profile are immediately visible within their
Notes
section.Key Point: Any administrator or staff member who has permission to view that specific user's profile will also be able to view all the notes associated with that user.
This shared access facilitates collaboration, ensuring all relevant team members are aware of important details, history, and requirements concerning the user, leading to more consistent and informed support.
